Basic guide of Microsoft excel
I prepare this post for basic guide of Microsoft excel using Microsoft word 2021, power point 2021 and excel 2021. This guide may not work for the Microsoft excel below 2013 version. You have to make sure that your Microsoft office version should be above MS office 2013.
In this document there will be unstructured, meaning less or disordered texts, sentences, Titles, paragraphs, shapes, figures or other contents. Do not worry about it. I incorporate it only for illustration what is talking about a specific section of concepts. Or the content is used as the example what you will do in each step.

Basic guide of Microsoft excel/What is Microsoft excel?
Microsoft Excel is computer application or the workbook (spread sheet) that enable us to stores and manipulate numerical, textual, graphical, tabular and mathematical data in columnar and row wise form.
the following are some of the application of Microsoft excel application.
- Simply store data in the form of column and rows
- Used to make data analysis
- Compute mathematical operation
- Statistical data manipulation
- Perform accounting and finance work
- Engineering data manipulation
- Store student mark data.
- Payroll system and any more functions.
- Employee management and attendance system
- Project management system
The building block of MS Excel are rows, columns, cells and records.
rows
Row represents the horizontal data records of the excel. Labelled by numbers 1, 2, 3, …….
Columns
Column represents the vertically data records of the MS excel. Columns are labelled by Alphabetic letter such as A, B, C, ….
Cells
Cells are the single element of MS excel to enter the data. The active cell is the current cell where the mouse cursor is active to enter the data.
Records
The organized data in row and column form is called records. These records are countable in row wise. Or records are the amount of data stored under each column. The following figure shows cell, record, column and row in a workbook.

You can perform the following tasks:
- Open existing excel document.
- Create new work space of excel.
- Save the excel document.
- Print the excel document.
- And share the excel document
Basic guide of Microsoft excel/Home menu
Home menu has the functional tools that enables you to perform the following operations.
- Change font size, font color, font style.
- Make the text underline, bold, italic, uppercase and lower case.
- Change the background color of text.
- Adjust text alignment and indents position.
- Add number list and bulleted list.
- Sort data alphabetically in ascending or descending order.
- Insert and modify headers.
- Rotate text diagonally or vertically.
- Wrap text and merge cells and make the text center.
- Change the number format such as general, decimal point, percentile and currency form.
- Format tables and cells.
- Insert and remove cells, columns, and rows.
Insert menu
The menu contains the tools to insert the following excel components.
- Tables
- Shapes
- pictures
- Screenshots
- add-ins
- charts
- spark lines
- filters
- links and
- symbol
Page layout menu
This menu there is the following tools.
- Change the Themes.
- Set the margin of the entire document.
- Change the Orientations. Make the layout of the document portrait or landscape.
- Change the size of the paper size. You can customize the paper size of the document using size tool.
- Print area tool. To select the area of the document you want to print.
- Background image tool. You can change the back ground of the work space by your own background image.
- Sheet option tool. Using this tool, you can hide and show the grid and the header of the excel document.
Formula menu
You can use many tools in formula menu for performing the following activities.
- You can do auto sum to automatically add all numerical data column wise or row wise.
- Insert financial function.
- Logical function.
- Lookup and reference.
- Date and time.
- Trigonometric function and
- Many tools to do many activities in your work sheet
Data menu
The data menu has the following tools
- Get and transform data tool. To import data out of the work sheet. You may import .CSV data, data from web and data from tables.
- Queries and connections. You may use query to access (import) the data from outside source.
- Sort and filter tool. You may want to sort the data or filter the data to narrow down the data in the column.
Review menu
The review menu has the following basic tools.
- Proofing tool. You can check spelling mistakes; you can get synonymous meaning for a given word. Using this tool, you can get workbook statistics. Using Workbook statistics, you can get full information about the excel document.
- Accessibility. You can get additional accountabilities tools using this tool.
- Comments tool. You can add comment in excel document using this tool.
- Protect tool. This tool is used to lock the entire workbook or the current work sheet.
View menu
In view menu the following tool are found.
- Work book view. You can view the normal excel document. Using this tool, you can see where the page break will appear when printed. In this menu, the page layout shows the entire workbook data page by page or you can see how your printed document will look.
- Show tool. Using show tool, you can show and hide ruler, grid lines, header and formula bar.
- Window tool. This tool enables you to create new workbook, freeze some columns, rows or columns and rows. The frozen row and column will have static position while another rows and columns are scrolled. You can also divide the work book in to four different pans that scrolls separately making the current (active cell) as the intersection of four layout.
